Close with a household plan you can repeat weekly
Once a week until the lender says the file is complete, open the request list and check each tab. Add new statements as they arrive. Pay rent on time and keep the receipt. Do not move large sums between accounts without writing why. A weekly hour is cheaper than a weekend panic after a missing-document email.
When the file is complete, keep the packet. Closing is not the last time someone may ask for a page. A refinance talk years later is easier if the gift letter and the rent proof still exist. Put the packet in a box you will not recycle during the move.
Neighbors and group chats will offer stories about a friend who "just used a different lender." Thank them and then return to your request list. Their friend had a different file, a different down payment, and a different week. Copying a stranger’s timeline is how people send an offer with a missing gift letter. Your list is boring on purpose. Boring is how a file survives review.
If you are self-employed, add a tab for year-to-date profit and loss and for the business bank statements the lender named. Do not wait for them to ask twice. Self-employed files stall when the personal statements look fine and the business pages are still in email. Print them the same night you print the personal ones. If a tax transcript is on the list, order it before you tour another street. The order confirmation belongs in the tab. The tour can wait an evening.
Flood insurance quotes and wind coverage can change the monthly number after you already stretched the budget for a payment. Ask for those quotes before you treat a preapproval letter as a shopping license. A payment that fits only before insurance is a payment that does not fit. Write the insurance estimate on the same page as the down-payment total so the household sees one number story.
If you are selling a car or furniture to raise funds, keep the bill of sale and the deposit trail. A cash deposit with no sale page will become a condition. The sale page is ordinary. Hiding the sale because it feels messy is how a file stalls. Messy and documented beats tidy and unexplained.
If a builder incentive requires using their lender, read that requirement as a second request list, not as a discount you grab first. The incentive dies if the packet cannot survive that lender’s review. Put the builder’s list next to your first list and highlight the extras. Extras that you cannot produce this month are a reason to keep renting a little longer. A dead incentive is cheaper than a denied file plus a wasted option fee.
Shift workers should tell the loan officer the hours they can return a call. A file that misses three lender calls looks abandoned even when the household is simply asleep after a night shift. A short note about hours is a professional page. Silence is not.
If a title company asks for a wire confirmation, treat that request as its own tab. Do not mix wire pages with the file explanations. A mixed tab is how a wire instruction gets lost under a collection notice. Separate envelopes. Separate labels. Same week.
If a seller’s agent asks for a preapproval screenshot to "prove you are serious," send the letter they already issued and nothing else from the packet. Extra packet pages do not belong in a listing agent’s email. The lender already has the hard pages. A listing agent needs proof of a conversation, not your gift letter. Oversharing is not professionalism. It is a privacy leak. If they insist on more, ask the loan officer what is safe to share and follow that answer in writing. Save that email with the request list so you are not guessing later about what left the house. If no email arrives, write the date you asked and wait before sending extra pages.
